Supervisor Responsibilities
As a supervisor of work-study employees, you are responsible for the following:
  • Contact the Office of Student Financial Services to post available positions. Supervisors are not allowed to post their own jobs without first having it posted in SFS.
  • Screen and interview potential student employees. Confirm that they are enrolled in at least 6 credits for the semester and that they are awarded work-study (see award letter and class schedule).
  • Complete Student Employment Referral with signatures of supervisor and dean/director of department before student employee begins working.
  • Print timesheets for student employees each month (preferably mid-month). Contact the Office of Student Financial Services if you do not have access to print.
  • Review timesheets for accuracy. Requiring students to sign in and out of work each day ensures accuracy.
  • Confirm student has not worked more than twenty-five (25) hours per week while school is in session. Remember the workweek begins on Saturday!
  • Your permission required if your student works when scheduled class has been cancelled or ended early.
  • Your permission required if your student works beyond regular university hours.
  • Submit monthly timesheets to the Payroll Office by the 3 rd working day of each month. Late timesheets will delay a student's paycheck by one month!
  • Monitor student earnings. Your department will be charged for earnings that exceed the student's work-study award!
  • Conduct evaluations for your students at the end of each year or upon termination.
  • Read the Student Employment Policy, which is located on our website at www.colostate-pueblo.edu. Student employment is listed under Student Financial Services on the TWOLF Portal.

Students can lose work-study eligibility under the following conditions:

  • Earnings exceed the work-study award.
  • Work is performed during class time.
  • Drop below six (6) credit hours.
  • Change in financial aid eligibility.
  • Financial aid suspension.
  • Working over 25 hours a week while class is in session.
  • Reporting hours not worked on official timesheet.
